2. Information We Process
Content and files you choose
The App processes microphone audio, device audio that you expressly authorize, audio or video files you select, imported text, and the transcripts you create. On supported Apple devices, speech recognition uses Apple’s on-device speech technologies. On Android, recognition uses the device’s offline model. Transcripts, associated media, settings, and recovery data are generally stored in the App’s private storage on your device.
Links submitted for Link to Text
When you use Link to Text, the public link you submit is sent to our link-resolution service so it can identify an available media source. The request may include standard network information such as your IP address, request time, and technical headers. After a media location is returned, the App downloads the media to your device and performs transcription on the device. We do not intentionally upload your resulting transcript to the link-resolution service.
Support and feedback
If you contact us by email, through the 53KF online customer-service page, or through our Feishu feedback form, we process the information you choose to provide. The online support page may also receive App version, build number, device model, operating-system version, language, screen characteristics, a randomly generated support code, and the messages or media you choose to send.
Android analytics
After you consent in the Android version, Umeng+ Analytics may process Android ID, OAID, device model, operating-system and App versions, distribution channel, network status, IP address, and in-App interaction events. We use this information for usage statistics, reliability, troubleshooting, and product improvement. Audio, video, and transcript content are not sent to Umeng as analytics events.
Website and hosting data
The XBScribe website does not currently use advertising cookies or a third-party product-analytics script. Our hosting provider may automatically process standard request and security logs, including IP address, browser or device type, requested URL, response status, and request time, to deliver and protect the website.
3. Permissions and Device Capabilities
The App asks for a permission only when a related feature needs it. Depending on your device and platform, these capabilities may include microphone access for live transcription, access to media you select through a system picker, device-audio or screen-capture authorization for capturing permitted playback audio, and permission to display floating captions above other apps.
Device-audio capture is used to process audio that another app allows to be captured. XBScribe does not use this feature to record the visual content of your screen. You can refuse or later revoke a permission in system settings, although the related feature may stop working.
4. How We Use Information
We do not use your audio, video, or transcript content for third-party advertising or cross-app tracking.
- Provide live, file, device-audio, and link-based transcription features
- Save, restore, edit, play, copy, and share transcripts and associated media on your device
- Resolve links and download the media you request
- Provide customer support and respond to feedback
- Maintain compatibility, security, performance, and reliability
- Measure Android feature usage after consent and improve the product
- Comply with law, protect users, and prevent misuse
5. Third-Party Services
Platform services
Apple and Android system services provide App distribution, permissions, file and photo pickers, on-device speech recognition, translation where available, and other operating-system capabilities. Those providers process information under their own policies.
Link and media providers
Our link-resolution service processes the public link you submit. The source platform and the media host may receive normal network requests when the App resolves or downloads content. Their terms and privacy policies also apply.
Analytics, support, feedback, and hosting
The Android version may use Umeng+ Analytics after consent. Online customer service is provided through 53KF, feedback forms may be provided through Feishu, and the website is intended to be hosted using Firebase Hosting. These providers process only the information needed to provide their respective services.

6. Legal Bases and Consent
Depending on your location, we process information to perform our agreement with you, provide features you request, pursue legitimate interests such as security and product improvement, comply with legal obligations, or based on your consent. Where consent is required, such as before initializing Android analytics, you may decline or withdraw it as permitted by the App and your device settings.
7. Storage, Retention, and Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, or alteration. No storage or transmission method is completely secure.
- Local transcripts, recordings, imported media, cached link media, and settings remain on your device until you delete them, clear App data, or uninstall the App, subject to temporary recovery and operating-system behavior.
- Submitted links and technical server logs may be retained only as reasonably necessary to operate, secure, troubleshoot, and protect the link-resolution service.
- Support and feedback records may be retained while needed to answer your request and maintain support history.
- Android analytics data is retained according to our operational settings and the service provider’s configuration.
8. How We Share Information
We may share limited information with the providers described above, with vendors acting on our behalf under appropriate protections, when required by law or legal process, to protect users and the integrity of the App, or in connection with a merger, acquisition, restructuring, financing, or transfer of assets.
We do not sell your personal information.

10. International Data Transfers
The App, website, and service providers may process information in countries other than your own. Where required, we take reasonable steps to use appropriate safeguards for international transfers. Platform- or region-specific notices may describe additional localization or transfer arrangements.
11. Children’s Privacy
XBScribe is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If local law requires a higher age for independent consent, a parent or guardian should provide any required authorization. Contact us if you believe a child has provided personal information without appropriate consent.
12. Changes to This Policy
We may update this Privacy Policy when the product, providers, or legal requirements change. We will update the “Last updated” date and provide additional notice when required. Your continued use after an update is subject to applicable law and any consent requirements.
